Your invisible assistant for online meetings. This guide will help you get up and running quickly with real-time transcription and AI-powered insights.
Welcome to GhostBro. Whether you're in a high-stakes client meeting or a team sync, GhostBro stays invisible while providing you with live transcripts and intelligent AI responses.
System Requirements
Supported Platforms
macOS: 10.15 (Catalina) or later (Universal binary for Intel & Apple Silicon).
Windows: Windows 10 or later (x64).
Hardware
Minimum: 4GB RAM, dual-core processor.
Recommended: 8GB+ RAM, quad-core processor. Local Whisper models benefit significantly from higher specs.
Network
Stable internet is required for cloud services (OpenAI, Deepgram). No network needed for local Whisper transcription (after initial model download).
Installation
macOS Installation
- Download the
.dmgfile from the Releases page. - Drag GhostBro.app to your Applications folder.
- Grant Screen Recording permissions (required for system audio capture) via System Preferences.
- Launch via Applications or Spotlight:
open -a GhostBro
Windows Installation
- Download the
.exeinstaller from the Releases page. - Follow the installation wizard prompts.
- GhostBro will be available in your Start Menu.
Initial Setup
Authentication Flow
GhostBro uses secure browser-based authentication. Click "Sign In" in the app, authenticate in your browser, and you'll be redirected back automatically.
Subscription Validation
The app validates your subscription or trial status upon login. An active status is required to access premium transcription and AI features.
Configuring API Keys
Press Cmd/Ctrl + 5 to open Settings. GhostBro uses system-level encryption (macOS Keychain/Windows Credential Manager) to keep your keys safe.

For AI insights and GPT-based transcription.
Deepgram
Lightning-fast speech-to-text service.
Anthropic / Google
Alternative AI providers (Claude / Gemini).

Choose the engine that fits your needs in Settings. Each provider has different strengths.
OpenAI Realtime
High accuracy, best for daily use. Requires an OpenAI key.
Deepgram STT
Fastest response times. Excellent for noisy environments.
Local Whisper
Offline capable. No API costs. Privacy-first design.
AI Insights Configuration
Fine-tune how GhostBro responds to your conversations.
💡 Configuration Tips:
- Context Window: Adjust how many words of history are sent to the AI (default: 2000).
- Custom Prompts: Create your own prompts for specific meeting types (e.g., Interviews, Sales, Code Review).
- Model Selection: Switch between GPT-4, Claude 3, and Gemini depending on your preference.
First-Time Usage
Interface Panels
GhostBro uses a multi-panel interface. Each panel can be toggled using its dedicated shortcut.
The window stays on top. Move it with Cmd/Ctrl + Arrows.
Start/stop listening to your meeting immediately.
Generate real-time suggestions based on conversation history.
Instantly hide/show the overlay for total invisibility.
Switch between light and dark modes.
Security & Privacy
🔒 Content Protection
GhostBro prevents its own window from being captured during screen shares. Your AI insights remain private even if you share your screen.
🔑 Encrypted Storage
All API keys are encrypted at rest using system-level APIs. They are never stored in plaintext and are decrypted only in memory when needed.
🛡️ Navigation & Popup Security
Unauthorized external navigation and popups are blocked within the app to prevent phishing and malicious redirects, ensuring your session remains secure.
Troubleshooting
Issue: Transcription not working?
1. Verify your API key is configured.
2. (macOS) Check Screen Recording permissions.
3. Ensure your internet connection is stable.
Issue: Window positioning problems?
Use Cmd/Ctrl + Arrow Keys to reposition. If it's completely lost, you can reset the window state in settings.
